THE JLT WORKFLOW CHECK

Before you automate,
find where work gets stuck.

Choose one recurring task. Answer these five questions with the person who actually does the work.

Your answers stay in this page while it’s open. Nothing is submitted or saved. Copy or print them before you leave.

  1. What starts the work?

Name a specific event: an enquiry arrives, a deal closes, or a request is approved. Where does it first appear?

  2. Who owns the next step?

Write down the owner, the action, and how they know it is theirs. “Someone checks the inbox” usually needs a clearer handoff.

  3. Where does work repeat or wait?

List the copying, checking, chasing, and spreadsheet updates. Estimate the frequency and time spent; mark estimates as estimates.

  4. What happens when something is missing?

Consider incomplete information, duplicates, an absent owner, and a failed step. Who sees the exception and decides what happens next?

  5. What would a better result look like?

Choose something you can check: fewer re-entries, shorter waiting time, or every item having an owner and next step. Record the current baseline before changes.

Choose a focused starting point.

Look for a frequent task with a clear owner and a result you can measure. Simplify the process first. Then decide which steps are suitable for automation.
